Introduction

When you place an order with us that requires Freight shipment (Shipped on a pallet or in a wooden crate), we ask for your Employer Identification Number (EIN). This request might seem unusual initially, but it significantly ensures a smooth, efficient, and compliant shipping process. Below, we detail the reasons behind this requirement and how it benefits your business and ours.

FedEx freight requires us to provide your EIN number. Without it, FedEx will block and hold the shipment until we provide the end customer’s EIN number.

Understanding EIN

An Employer Identification Number (EIN), or Federal Tax Identification Number (TIN), is a unique nine-digit number the Internal Revenue Service (IRS) assigns to business entities operating in the United States. It’s used for tax identification purposes and allows businesses to report their financial activities to the government.

Where do I find the EIN number?

  1. Contact your accounts payable or accounting department to get the company EIN number.
  2. Your business may already send W-9 forms to vendors (here’s an example). Part I, Taxpayer Identification Number (TIN), will list your Employer Identification Number (EIN).
  3. Click here for lost or misplaced EIN numbers: https://www.irs.gov/businesses/small-businesses-self-employed/lost-or-misplaced-your-ein.

Reasons for EIN Requirement

  1. Customs Clearance: The EIN is often used to expedite customs clearance for international shipments. It helps customs authorities identify your business as the recipient or sender of the goods, ensuring that your shipment complies with all global trade regulations.
  2. Security Measures: FedEx, like many carriers, has implemented stringent security measures to prevent fraud and protect the supply chain. By providing your EIN, you help verify the legitimacy of your business, enhancing the security of the shipment process.
  3. Streamlined Shipping Process: Using your EIN, we can streamline the shipping process by pre-filling various shipping and customs documents. This reduces the risk of delays due to incomplete or incorrect paperwork and ensures faster delivery of your goods.
  4. Regulatory Compliance: Our requirement for your EIN aligns with federal regulations governing the shipping and logistics industry. It ensures that all parties comply with the laws and regulations the IRS and other governing bodies set forth.

How Your Data is Protected

We understand the importance of privacy and data security. Your EIN and other sensitive information are handled carefully, following strict data protection protocols. This information is used exclusively for the abovementioned purposes and is not shared with unauthorized third parties.
